Affiliated to the Welsh Photographic Federation (WPF)
The objective of these Rules is to give each Club member an equal opportunity to participate in the Club's activities and also to conform to the Club's objectives and standards as stated in the Constitution.
Funding:
The Club Treasurer is responsible for all Club Funds, issuing membership cards (on which appears a unique number for identifying competition entries) plus a copy of these Rules and Competition Rules The current membership fee is normally set at the AGM and is due by April 1st each year.
There will also be a weekly charge per person attending each Club meeting to help cover the cost of rent, judges, speakers and other expenses, refreshments, raffle and other consumable costs. This will normally be set at the AGM but can be varied depending on additional costs of speakers etc. All money collected by Club activities will enter the Club General Fund.
The Club Treasurer will pay the cost of renting the venue where appropriate (to be reviewed at times of renewal or change of conditions and normally agreed at an AGM or a SGM). The venue will be normally agreed at the AGM.
Insurance Policies will be set up by the Treasurer as will the control of consumables and normally agreed at the AGM.
Membership:
Membership is by approval of the Committee and then by a majority at an ordinary Club meeting. The Committee can also revoke an individual's membership.
The Cub Secretary will hold a list of current members' names, addresses, e-mail and telephone contacts plus the members' unique number to be used solely for Club business.
Any member who has not paid due fees cannot enter competitions and if in arrears for 3 months will cease to be a member.
Any member found guilty of misconduct or non adherence to Club Rules will have the membership reviewed by the Committee who may have such membership terminated.
Members who have a serious query regarding these Rules or any other matter of concern can bring such matter to any committee member who will arrange for a Committee Meeting to be held as soon as possible to discuss the matter and give an interpretation to the member.
Competitions:
The Internal Competition secretary is responsible for organizing all Club competitions and local Exhibitions that members take part in during the Club year, and from the results, he will nominate Club category winners for approval by the Committee.
Competitions will be set during the AGM and Rules set and listed to establish category winners. External competitions will be the responsibility of the External Competition Secretary.
Programmes:
The Programme secretary is responsible for organizing and providing the programme for the Club year and for its distribution to members after approval by the Committee.
Club Equipment:
No software shall be installed or uninstalled on the Club computer without Committee approval.
Club equipment is prioritized for use on Club evenings and is not to be used elsewhere on these dates.
Club equipment is NOT for personal use without applying in writing to and obtaining prior consent from the Equipment Officer.
Members who use such equipment must be familiar with the operation methods and pay a small fee towards the cost of hire as decided from time to time by the Committee. The cost of hire will be displayed in the Hire Record Book which will be used to record the hire.
Any damage to such equipment will make such a member liable for any excess cost borne by the Club
The borrowing of any equipment will be the responsibility of and controlled by the Equipment Officer.
The cost of hire, determined by the Committee, will be displayed in the Hire Record Book.
Communications:
Each Club meeting will be chaired by the Chairman (Vice C/M in his absence or Secretary in both absences) who will call on each officer to present current information including activities of the WPF at each Club Meeting.
All letters and publicity material will be on headed notepaper and will also publicize the Logo of the Arts Council of Wales and contain the words "Supported by a Lottery Grant from the Arts Council of Wales.
